University application document checklist
What most undergraduate and graduate applications ask for, from transcripts and tests to the documents your student visa will need.

Every university and every country has its own process, but the core of a strong application is remarkably consistent. Use this list to see what is ahead, and to start on the items that depend on other people — schools, teachers and testing agencies all need time.
The best applications are unhurried. Ask for transcripts and recommendations well before the first deadline, and keep a copy of everything you submit.
Identity
- Passport, valid for the length of your intended studies where possible
- Passport-style photographs, if requested by an application portal or visa
Academic record
- Transcripts from recent years of school or university — the number of years varies by institution
- Predicted grades or a school report, where final results are not yet available
- Certificates and diplomas already awarded
- School profile from your counsellor, if your school provides one
- Certified translations of any record not in the language the university accepts
Tests
- Qualification results — for example IB, A levels, AP or national examinations
- Admissions tests, where required or recommended — for example SAT or ACT, or subject-specific tests
- English language test, where required — for example IELTS, TOEFL or an accepted alternative
- Graduate tests, where required — for example GMAT or GRE
- Official score reports sent directly by the testing agency, if the university asks for them
Your story
- Personal statement or essays, in each university's format and word limit
- Activities list or CV, with dates, roles and what you achieved
- Recommendation letters — confirm who will write them, and give them time and context
- Portfolio or writing samples, for art, design, architecture, music and some humanities courses
- Research proposal, for doctoral and some research master's applications
- Interview preparation, for universities that interview
After an offer
- Acceptance of your offer by the university's deadline
- Confirmation of enrolment for your student visa — for example a CAS in the United Kingdom or a Form I-20 in the United States
- Evidence of funds for your visa, in the format the destination requires
- Student visa application and any biometrics appointment
- Health insurance and any health checks the destination requires
- Accommodation application
